Notifying All Subcontractors & Suppliers of a Revision (Even if They Haven't Downloaded Documents)

How to notify all subcontractors and suppliers of a revision

Once you have ‘Updated Packages’ on the Document Matrix you will be prompted to confirm changes & notify subcontractors and suppliers that the package they have downloaded has been updated.

If you would instead like to notify all companies of a revision, including subcontractors or suppliers who have not yet downloaded documents, you should ‘deselect all packages’ when choosing who you notify at the final step of the Revision Wizard.

This is done by removing any ticks that appear next to package names.

To select which recipients receive a notification, you will need to issue a ‘Notification of Revision’ correspondence item. Correspondence is always sent in relation to a specific tender and is sent from the Invites & Responses page.

Prior to issuing correspondence, you need to select the subcontractors and suppliers you would like to issue correspondence to.

To select a company, place a tick in the checkbox beside their name as they appear on the Invites & Responses page, or place a tick in the checkbox in the heading to select all subcontractors and suppliers.

If you do not wish to notify certain subcontractors or suppliers of the revision, you will need to ensure they do not appear as ticked prior to issuing the Notification of Revision.

Once you have reviewed the full list of Responses and are happy with your selection, from the Quick Actions drop-down menu select ‘New Correspondence’.

On the New Correspondence slider, select ‘Notification of Revision’ as the type of correspondence and enter in a title/subject line and message for your email.

Remember all correspondence issued to your subcontractors via E1 is recorded against the company’s Audit Trail and tracked in the Correspondence tab for the relevant project.

You can see the Notification of Revision you have just sent from the audit trail of each of your companies.
